Privacy Policy: TAS Community Leagues
Last updated: Oct 11, 2026 · Version 1.0
This Privacy Policy explains how Numa Technologies Corporation ("Numa", "we", "us"), Regina, Saskatchewan, Canada, handles personal information in TAS Community Leagues at leagues.totalaisports.com (the "Service"). We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
1. Accountability and roles
Our Privacy Officer is responsible for this policy: privacy@totalaisports.com. Leagues and organizations decide what information about their players, families, coaches and officials to put into the Service and what to make public. We process that information to provide the Service to them, and we handle account information directly. Leagues remain responsible for having the consents needed for what they enter and publish.
2. What we collect
- Account information: name, email, password (hashed) and two-step verification data if used. Accounts are shared across the Total AI Sports sites.
- League information entered by league staff: organization and league details, teams, player names, positions, jersey numbers, photos and logos (on plans that include them), game schedules, locations, scores, stats, shot charts, practice schedules and attendance, official assignments, and rules documents.
- Membership and invites: each member's role and team, and invitees' names and email addresses and the invite's status.
- Parent and guardian information: the parent or guardian's account and which children they manage, and RSVPs and consents they give.
- Billing: plan and payment status. Card details are handled by Stripe, not stored by us.
- Technical: IP address, browser, pages requested and security events in server logs; necessary cookies (section 7).
3. Children's information
We treat information about minors as sensitive.
- A child under 13 may only take part through a parent or guardian, who consents for them. We don't knowingly let children under 13 create their own accounts.
- Leagues must get a parent or guardian's consent before adding a minor's photo or publishing a minor's stats, and should limit public information about minors to what the family agreed to.
- A parent or guardian sees only their own children's information and attendance, never other families'.
- Practice details and attendance are visible only to league staff and the families involved, never on public pages.
- Parents, guardians and adult players can ask the league or us to remove a photo, hide stats from public pages, or delete a child's information at privacy@totalaisports.com. We'll verify the request and act promptly, generally within 10 business days.
4. How we use information
To provide the Service (rosters, schedules, score clocks, stats, practices, attendance, invites and public pages); to secure accounts and prevent abuse; to send service emails such as invites and account notices; to process league plan payments; to provide support; and to meet legal obligations. We don't sell personal information, use it for advertising, or use children's information for marketing. We don't use third-party advertising or analytics trackers.
5. What is public
Public league pages and schedules show what the commissioner chooses: league and organization names, teams, game dates, times, locations, scores and standings, and possibly rosters, player names, numbers, photos and stats. Email addresses are never shown publicly. Search engines may index public pages.
6. Who we share it with
- League members, according to their role (for example coaches see their own team; officials see their assigned games; parents see their own children).
- Other Total AI Sports sites operated by Numa that share the account system. Total Sports News may show the names and cities of public community leagues to readers in that area.
- Service providers under contract: Stripe (payments, United States), email delivery, and Cloudflare (bot protection).
- When required by law, to protect someone's safety, or in a merger, financing or sale under confidentiality obligations.
Our servers are located in Saskatchewan, Canada. Some providers process information outside Canada (for example in the United States), where it is subject to local law.
7. Cookies
We use only necessary cookies and browser storage for sign-in sessions, security and preferences. No advertising cookies.
8. Retention
League records (schedules, results, stats) are kept while the league exists so seasons stay complete. Player information is kept while the league keeps the player on its roster and is deleted or anonymized on a verified removal request, except where we must keep it by law. Invites expire, and we may delete old invites. Logs and backups are kept for limited periods.
9. Security
We use encrypted connections, hashed passwords, role-based access enforced on our servers, two-step verification options and limited staff access. If a breach creates a real risk of significant harm, we'll notify affected people and the Office of the Privacy Commissioner of Canada as required.
10. Your rights
You can request access to or correction of your information (or your child's), withdraw consent, or ask for deletion by emailing privacy@totalaisports.com. We'll respond within 30 days and may refer requests about league-entered data to the league as well. You can also contact the Office of the Privacy Commissioner of Canada (priv.gc.ca).
11. Changes
We'll update the "Last updated" date and version when this policy changes and give notice of material changes.
